TRAINING ENVIRONMENT & FACILITY PROTOCOL

Olympians Swimming is committed to providing a safe, focused, and professional environment where every athlete can reach their full potential. To ensure we meet our insurance requirements, maintain our facility partnerships, and provide the best possible instruction, we ask all families to adhere to the following policies.


Professional Training Environment

Our coaching staff is dedicated to the development and safety of every swimmer. To maintain a focused learning environment, the pool deck and immediate dryland training areas are the exclusive domain of the athletes and coaching staff. By limiting deck access, we ensure that swimmers can focus entirely on their technical instruction without outside distraction.

We kindly ask that parents and spectators support their children from designated observation areas or bleachers. It is essential that parents refrain from coaching, gesturing, or communicating with their children during practice, as this can create conflicting instructions and undermines the authority of the coaching staff.


Insurance and Sanctioning

To operate as a sanctioned club and maintain our mandatory liability insurance, we must ensure that the training environment meets specific regulatory standards. Only registered swimmers and certified coaches—who have completed comprehensive Safe Sport training, ethical certifications, and criminal record checks—are permitted on the pool deck. Unauthorized access to the deck can jeopardize our insurance eligibility and our ability to rent facility space.


Facility Access and Etiquette

As guests of the facility, our members and coaches are required to uphold specific building rules to ensure smooth operations:

  • Check-In Procedures: All coaches and club members must identify themselves at the front desk upon arrival. We ask that you remain respectful to front desk staff if they stop you to verify your destination; this is part of their role in maintaining facility security.
  • Entrance and Exit: During standard operational hours, all members must enter and exit the building via the main front entrance. Using side doors or emergency exits for standard arrival or departure is strictly prohibited.
  • Dryland Exception: Swimmers and coaches are permitted to exit and re-enter via the side door solely for the purpose of conducting dryland training. This is only permitted if the individual has already checked in at the main entrance and ensures that no outdoor footwear is worn onto the pool deck upon re-entry.
  • Clean Deck Policy: To maintain hygiene and safety standards, anyone entering the pool deck area must wear clean "on-deck" indoor shoes or go barefoot. Outdoor footwear is not permitted in the aquatic zone.
  • Glass Prohibition: For the safety of all patrons, glass containers are strictly prohibited on the pool deck at all times.
  • Deck Changing Policy: For the comfort and privacy of all facility users, changing on the pool deck is strictly prohibited and will not be tolerated. All athletes must use the designated change rooms for all clothing and suit changes.

Competition Protocols

During swim meets and competitions, Olympians Swimming applies for a special event sanction. Under these specific conditions, the following exceptions to our standard deck policy apply:

  • Spectator Areas: The special sanction permits parents and spectators on the pool deck, provided they remain within the specifically designated spectator zones.
  • Access Points: During these sanctioned events, entry and exit to the pool deck may be permitted through a designated door, as directed by meet officials.

Outside of these specific sanctioned competitions, all standard daily training policies remain in effect.


Safety and Emergency Response

The safety of our swimmers is our highest priority. In this facility, safety is the primary domain of the professional lifeguarding staff. In the event of a medical issue or safety incident, the following protocol is in place:

  • Notification: Coaches will immediately notify the lifeguards of the situation.
  • Primary Care: The lifeguards are responsible for the care and first aid of the individual.
  • Parental Role: During an incident, we ask parents to remain in the observation area to allow responders the space they need to work. Coaches or facility staff will contact parents immediately if their presence is required.

Photography and Privacy

To protect the privacy and safety of all children in our programs, video recording and photography by parents or spectators are strictly prohibited. This includes recording from observation zones or through facility windows. While our coaching staff may occasionally use video as a tool for technical feedback and analysis, this is done within strict privacy guidelines.


Transitions of Responsibility

Our coaches assume responsibility for the athletes during the scheduled period of swimming instruction. Parents or guardians remain responsible for accompanying their children to and from the change rooms and washrooms before and after practice sessions.
